HOW IT WORKS
SIX CHAPTERS

One good conversation starts here.

Follow Jordan, a fictional small business advisor, from a guest profile to a follow-up with a fictional show, The Owner's Desk. You stay in control of every message.

CHAPTER 01 OF 06

Build your guest profile

Add your bio, areas of expertise, the topics you can speak on, the audiences you want to reach, and a headshot.

Why it helps. Every later step draws on one consistent description of you, so research and pitches stay about what you actually know.

  • Choose podcast niches from suggestions or add your own
  • Headshots are stored privately, not on a public page
  • Update the profile any time; existing prospects are not rewritten

CHAPTER 02 OF 06

Discover and assess relevant podcasts

Run research when you choose. PodProspector looks for shows that match your saved topics and summarizes why each one could fit.

Why it helps. Instead of scrolling directories, you get a shortlist with a plain-language fit note, a suggested interview angle, and an honest signal of how open the show appears to be to guests.

  • Fit notes are based on public show and episode information
  • Guest openness reflects evidence found, and shows low when evidence is thin
  • Research runs are limited per day to keep costs predictable

The Owner's Desk

Weekly interviews with owners about running lean teams. Jordan's cash flow topic could give listeners a practical checklist.

CHAPTER 03 OF 06

Review the contact route and save the prospect

Check how the show accepts guests: a guest application form, an email published for guest pitches, or a route that still needs checking. Save the shows you want to pursue.

Why it helps. You only pitch through routes the show itself offers. A generic or owner address on its own is not treated as a booking contact, so you avoid pitching the wrong inbox.

  • A Find Guest Contact check looks at the show's own website pages
  • Unconfirmed routes stay marked Needs verification
  • Contacts you enter yourself are never overwritten

CHAPTER 04 OF 06

Prepare a personal pitch

Start from a drafted pitch that opens with one specific question for the host's audience, then edit it in your own words. Use Rewrite with AI with a short instruction, such as shorter or warmer, if you want another version.

Why it helps. You begin with a relevant, conversational draft rather than a blank page. A rewrite is only a preview until you choose Use this version, and nothing is saved until you click Save.

  • Drafts lead with a question, not flattery or hype
  • AI is instructed not to invent episodes, credentials or statistics
  • Review the facts yourself before sending

SUBJECT

What should an owner stop doing before the first hire?

Hi Sam,

What's the one task owners hold onto that quietly costs them the most?

Two short paragraphs on why your listeners would care, then a low-pressure close.

CHAPTER 05 OF 06

Send it yourself, from your own email

AI-assisted. Personally sent. Nothing goes out until you send it.

EXAMPLE, FICTIONAL

Open the finished pitch in your email app with the recipient, subject and body filled in, or copy it. Read it once more, then press send yourself. The message comes from you, in your voice, from your own address. AI helps you write; you decide what goes out and when.

  • PodProspector never sends email automatically
  • Customer inbox connections are not live yet
  • You confirm a pitch was sent; the app never assumes it

CHAPTER 06 OF 06

Track replies, follow-ups and bookings

Move each show through your pipeline as things happen: contacted, follow-up due, conversation, booked, recorded and published. Note replies and set the next step.

Why it helps. You can see at a glance who needs a follow-up and which conversations are moving, with a history of every change you've recorded.

  • Drag cards between stages or use the Move button
  • Follow-up dates and next steps stay with each show
  • Opt-outs are respected and history is kept

  1. Saved to Research
  2. Marked Contacted after Jordan sent it
  3. Follow-up due in 7 days

OPTIONAL, AT ANY CHAPTER

Download a guest one-sheet

Turn your profile into a one-page PDF with your bio, topics and headshot. Preview it, download it, and share it only where you choose. There is no public profile link and it is never attached to emails automatically.

Common questions

Does PodProspector.co send pitches for me?
No. You review every pitch and send it from your own email app. The app never sends email on its own, and it never marks a pitch as sent unless you confirm it.
Can I connect Gmail or Outlook?
Not yet for customers. You open or copy each pitch into your own email app. Your inbox remains the record of what was actually sent and received.
Will AI write the whole pitch?
AI drafts and can rewrite on request, but you stay the author. You edit, check the facts and decide whether to send.
How do I get access?
